The Role & Responsibilities
As an Administrative Assistant, you will be the backbone of office operations. Your role goes beyond paperwork—you will serve as the first point of contact for clients and visitors, manage documentation for overseas employment, and support the management team in executing daily business functions.
Key Responsibilities
- Front Office Management
Welcome clients, visitors, and candidates with professionalism. Ensure inquiries—whether in person, over the phone, or via email—are handled efficiently, creating a positive first impression. - Documentation & Record-Keeping
Maintain accurate records of applications, employment contracts, and legal documents. Ensure that files are organized, updated, and compliant with Sri Lanka Bureau of Foreign Employment (SLBFE) regulations. - Client Support
Assist candidates with form filling, documentation requirements, and application processes. Guide them through each step to reduce errors and delays. - Scheduling & Coordination
Arrange appointments, interviews, and meetings with clients and overseas representatives. Keep calendars updated and ensure timely communication with all stakeholders. - Communication Liaison
Serve as the link between candidates, the agency, and international employers. Draft professional correspondence and ensure smooth information flow. - Office Administration
Manage supplies, prepare reports, and support daily office operations to maintain efficiency. Handle clerical duties such as typing, scanning, and photocopying. - Team Support
Provide administrative support to the HR and recruitment teams, ensuring all processes—from candidate selection to overseas deployment—run seamlessly.
Qualifications

- Educational Background
GCE Advanced Level or equivalent qualification. A diploma in administration, HR, or office management is an added advantage. - Technical Skills
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) is required. Familiarity with office equipment and basic database management will help you excel. - Language Proficiency
Fluency in Sinhala is essential. Proficiency in English is strongly preferred, while Tamil would be an added advantage, given the diversity of candidates. - Work Experience
Prior experience in administration, customer service, or recruitment agencies is highly desirable but not mandatory for motivated freshers. - Age & Gender
Applicants must be 20 years or older, open to both male and female candidates.

Salary & Benefits
